How We Use Your Information
Once registered as a candidate, your information is used in the following ways to deliver our recruitment services:
AI-Assisted CV Review and Preparation We use AI-assisted tools — including tools within our platform and external AI services — to support our consultants in reviewing your CV and assessing your suitability for roles. In some cases, a consultant may use an AI tool to assist with minor refinements to the presentation or formatting of your CV where they consider it beneficial. Any such changes are made solely at consultant discretion, and your original CV is retained on file at all times. You may request to review your CV as held by us at any time by contacting andrew@rightfitrecruitment.co.im.
Role Matching and Featured Jobs Your CV is assessed against role profiles to identify relevant opportunities. Where a strong alignment is identified, relevant roles may be featured within your candidate profile on our platform. This matching is based solely on the information you have provided to us and is carried out to support your job search.
Communications About Matching Roles With your consent, we may contact you by email or push notification to inform you of roles we believe may be of interest based on your profile and the matching process described above. You may update your communication preferences at any time by contacting us at andrew@rightfitrecruitment.co.im or through your candidate profile settings. You can opt out of push notifications and email communications independently of one another, and doing so will not affect your registration as a candidate.
How Long Do We Keep Hold Of Your Information?
We will retain your information for as long as you remain an active candidate with Right Fit Recruitment, including periods where you have found work or paused your job search.
Active Consent and Automated Retention We treat each login to the candidate portal as an expression of continued consent to hold and process your personal data. A 12-month inactivity period applies to all candidate accounts. If you have not logged in within 11 months, we will contact you by email to remind you that your account is scheduled for deletion. Logging in at any point resets the 12-month clock. If no login is recorded within the 12-month period, your personal data will be automatically and permanently deleted.
Withdrawing From a Specific Role If you wish to withdraw your interest from a particular role without closing your candidate profile, you can do so directly through the candidate portal. This removes you from that role only and your profile and data remain active. If you are not progressed for a specific role, your profile similarly remains active and you may be considered for other suitable opportunities.
You may request permanent deletion of your profile and data at any time — see Erasure under Know Your Rights below.
Who May We Share Your Information With?
At Right Fit Recruitment, your privacy and data security are paramount. Rest assured that we adhere to a stringent information sharing policy:
Potential Employers We only disclose specific information to potential employers, which will include your CV and other details as requested by the employer. We will share this having collected your explicit consent to do so. Your authorisation is vital before any sharing occurs. Any AI-assisted processing described in this policy is carried out internally — your CV and personal data are shared with potential employers only with your explicit consent.
Pre-Employment Screening For essential pre-employment screening such as, but not limited to, criminal checks and credit assessments, we partner with authorised third parties. We will always notify you in advance about any shared information and obtain your consent before initiating these checks.
AI Processing — Technology Service Providers To deliver our AI-assisted CV review, preparation, and role matching services, your CV and relevant profile information may be processed by third-party AI service providers. This processing is carried out solely to support the delivery of our recruitment services, under appropriate data processing terms. These providers do not retain your personal data beyond the immediate processing required.
Geographic Scope Right Fit Recruitment will only transfer data to potential recruiters based in the Isle of Man, UK, and European Economic Area. Where third-party AI service providers are used, data is shared only to the extent necessary to deliver our services.
We never engage in the sale of any collected information.
Safeguarding Your Data
At Right Fit Recruitment, we prioritise the security and confidentiality of your data. Your data is stored securely within our platform, accessible exclusively to Right Fit Recruitment’s authorised staff. This access is limited to ensure your data’s confidentiality and is used solely for the purposes set out above.
Where external AI tools are used to support consultant work, data is shared only to the extent necessary to complete the task and is not retained by those services beyond the immediate processing required.
Accessing Your Data
At Right Fit Recruitment, we respect your rights regarding your personal data. Here is how we handle your data access and accuracy requests:
You have the right to request access to your personal information in our control. To do so, please email us at andrew@rightfitrecruitment.co.im, specifying the data you would like to access. We will respond to your request within one month. If, for any reason, we are unable to fulfil your request, we will inform you of the reasons behind our decision.
If you believe that the information we hold about you is inaccurate or incomplete, please notify us promptly. We will take immediate steps to review and rectify any incorrect data. During the correction process, we will restrict the processing of the inaccurate information and keep you informed once the necessary corrections have been made.
Know your Rights
Under certain circumstances, you have legal rights which we will support that include:
Correction: You can request us to correct any incomplete or inaccurate personal information we have about you.
Erasure: You have the right to request permanent deletion of your candidate profile and all associated personal data. You can do this at any time directly through the candidate portal. Once deleted, your data cannot be recovered and you would need to re-register should you wish to use our services again. If you are unable to access the portal, you may request deletion by contacting us at andrew@rightfitrecruitment.co.im. Please note that opting out of email communications does not delete your profile — your data will continue to be held in accordance with the retention terms above until you actively request deletion or the 12-month inactivity period is reached.
Objection: You have the right to object to the processing of your personal information, including its use in AI-assisted CV review, preparation, and role matching. If you object to AI-assisted processing, please contact us and we will ensure your CV is reviewed and managed by our consultants without the use of AI tools.
Restriction: You can request us to suspend the processing of your personal information, such as if you need to verify its accuracy or reason for processing.
Data Transfer: You can request the transfer of your personal information to another party.
Communication Preferences: You have the right to opt out of email and push notification communications at any time without affecting your candidate registration.
If you wish to review, verify, correct, or request erasure of your personal information, object to its processing (including AI-assisted processing), or ask for a transfer of your data to another party, please get in touch with us at andrew@rightfitrecruitment.co.im.
You also have the right to lodge complaints with the Isle of Man Information Commissioner. For more information, visit www.inforights.im.
